Password Change Service – Avaya CallPilot: Part 1

passwordSS47010Avaya CallPilot is one of many messaging platforms available from Avaya. CallPilot offers many features and capabilities for users that have made it a very popular voice messaging system. Several versions are available. The 202i is available with a maximum of 32 channels, or a 1005r or 1006r with 96 or 192 channels, respectively. CallPilot is fully integrated within a Meridian or a CS1K switch. The 202i platform is installed directly into the switch using two card slots. The 1005r and 1006r platforms utilize MGate cards. Users have the option of accessing their voice mail with three methods: telephone access, desktop messaging, or web access.

When I teach the CallPilot product, one comment I often get is that an administrator spends so much time simply resetting passwords for users who have gotten locked out of their mailboxes because they forgot their password. Here we will show an administrator how to set up and utilize Password Reset Service, introduced with CallPilot Release 5. This feature is not unlike trying to access one of your accounts online when you can’t remember your user ID or password. You are given a link, typically via e-mail, that allows you access to reset both.

Password Reset Service

Password Reset Service will allow an administrator to decide if users can reset their passwords via an email link, via questions and answers, or both. This is a standard feature available on all CallPilot platforms and simply needs to be configured. With the utilization of this feature, you are putting the responsibility of resetting passwords back to the mailbox owner, thus freeing you to administrator other tasks.

There are some system requirements that must be addressed prior to utilizing this feature.

  • Password Change Service must be installed on a web server.
  • Password Change Service requires secure communications between the web server and the web client or browser.
  • You must utilize Secure Socket Layer between the browser and the web server.
  • You will need to purchase and install an additional SSL certificate to use with IIS (Entrust or Verisign can provide the certificates).

Part 1: Configuring Password Change Service

1. The first step is to define your CallPilot server IP in the preset list of servers under Preferences.

  • Log into CallPilot Manager>preferences>add
  • Type in the IP address and name and save

2. Next, configure the SMTP capabilities to allow the sending of secure messages. This step might already be configured for Desktop Messaging/Web messaging/text messaging.

  • Go to Messaging>Message Network Configuration>Server Properties.
  • Scroll to the SMTP/VPIM section and verify the FQDN is entered.
  • If not, enter.

3. It is necessary to allow the sending and receiving capabilities and to define the SMTP proxy server.

  • Go to Messaging>Message Delivery>SMTP/VPIM sections.
  • Place a check mark in both Incoming SMTP/VPIM and Outgoing SMTP/VPIM.
  • Enter the Outgoing SMTP Mail/Proxy server address.
  • Save the screen.

4. Now, decide which method or methods will be allowed for a user to change their password. The options again are email or questions and answers. The email method is considered the more secure of the two options.

    • Go to Messaging>Security Administration.
    • Scroll to Password Change Service section.
    • Place a check mark in the boxes to allow Enable Change by Email and/or Enable Change by Secret Questions.         
      • If you enable secret question method you must also determine a minimum length of characters.
      • If you select by email then you must determine an expiry time period.
        • When a user requests the email be sent to their email address, CallPilot time stamps the request.
        • The end user must respond to the email request via the link in the email within the defined expiry period. If they do not, the request will expire and the user must send another request.

5. Allow the end user email access for the change request service

  • Go to User>User Search>user mailbox number.
  • Scroll to the security section of the user properties page and enter the users email address in the field Password Change Service E-mail.
